What breaks when you paste a spreadsheet into AI
A spreadsheet's meaning lives in its grid. Copy-paste destroys the grid:
- Cells collapse into a run-on stream of numbers with no row or column boundaries.
- The AI can't tell which number belongs to which column, so it reasons over the wrong figures.
- Formulas paste as their formula text — or as blanks — instead of the values you actually meant.
- Multiple sheets, headers, and totals lose their structure and blur together.

What to check first
Formulas use the value Excel last cached in the file, so if a workbook looks stale, open and save it in Excel before converting. Very large or complex workbooks are capped and the tool tells you clearly rather than getting stuck. Charts and embedded images are not read. Turning a dense grid into a Markdown table can slightly increase the raw token count versus bare numbers — but the AI reads the table far more reliably, which is the point.

Will ChatGPT understand my spreadsheet better this way?
Yes — a Markdown table gives the AI real rows and columns, so it stops guessing which number belongs to which field. It cannot compute something your data does not contain, but it will reason over the correct figures instead of a garbled stream.
Are my formulas calculated?
No. LessTokens uses the value Excel already cached in the file and never recalculates formulas. If a cell looks out of date, open and save the workbook in Excel first so the cached values refresh.
Is my file private?
Files are processed temporarily, never used to train AI, and automatically deleted within 60 minutes. See the privacy policy for the full detail.
File retention
Uploaded originals and conversion results are temporary. They are not kept as a permanent document library.
- Uploaded originals are used only to produce your Markdown result and are deleted as soon as processing ends, or within 60 minutes at the latest.
- Conversion results and job records are available for up to 60 minutes, then expire and are automatically removed from the active database.
- We do not keep a permanent document library. Limited provider-managed infrastructure snapshots may retain residual copies for up to 5 days before automatic expiry.
- Uploaded originals are held in temporary local storage only while the job is processed. Recurring cleanup removes any expired temporary upload left by an interruption.
